Free Plans

This article covers how to create, share and manage free plans day to day. For the basics, start with the Plan Types article.

Creating a Free Plan

What a Free Plan Contains

Click Create Plan and choose Free Plan. The editor has three tabs: Details, Integrations & Features and Limits — there's no Price tab, and Stripe isn't needed. Set the features (see the Plan Features article), the monthly and trial limits and the location limit (see the Plan Limits article), then click Create. Each free plan needs a name that none of your other free plans already uses.

The Plan Card and Sign-Up Link

The Plan Card

Once created, the plan gets its own card on the Pricing Plans page, with the green Free badge in the top-right corner and the creation date under the name.

The Sign-Up Link

At the bottom of the card you'll find the plan's sign-up link, with an icon to open it in a new tab (Sign-up link) and one to copy it (Copy sign-up link). The link uses your own domain once it's connected and active. Clients who open it register with an email and password, then go straight into onboarding, which they can complete on their own. However a client signs up, they appear as a new card in the Clients section.

Your Client Limit

Free clients count against your agency plan's client limit. If the limit is reached, new clients can't be added until you upgrade — see the Manage Free Client article.

Plan Visibility

Hide Plan

In Extra Features, the Hide Plan option hides the plan from your clients' Billing section, so clients can't see or select it there. It's ticked by default on new free plans. Hiding a plan doesn't disable its sign-up link: you can still invite clients by sending them the link privately. Even when a free plan is visible, free clients can't switch to it themselves — they're offered Contact us to switch, and you move them with Change Plan on their client card (see the Free Plan Upgrade article).

Adding Clients Manually

New Free Client

You can also add a client to a free plan yourself, without the sign-up link. In the Clients section click New Free Client, enter the Client Email, pick the plan from the Plan dropdown and decide whether to enable Send Welcome Email.

If you send the welcome email, the client receives a login link. Clicking it takes them into onboarding, where setting a password is the first step. Automated emails like this one need your own domain connected.

If you don't send it, the client is still created — you'll see their card in the Clients section — but they receive nothing yet. When you're ready, click Copy invite link among the icon buttons on their client card and send it to them privately. It takes them directly into onboarding, with password setup as the first step.

Setting Up the Platform on Your Client's Behalf

Prepare the Account First

You can set up a client's account before they ever log in. Create the free client without the welcome email, then click View Client on their card to enter their account directly and connect integrations and complete the setup for them.

Once you're done, send them the invite link. They'll land in the platform you've already configured, and can set or change their password from Settings > Account whenever they like.

Editing and Deleting a Free Plan

Editing

Click the plan's card to open the editor. Everything on a free plan can be changed after creation — name, color, features, limits, location limit and visibility — and clients on the plan get the changes automatically. The only exceptions are the Demo Plan, which can't be edited, and the location limit, which can't go below the number of locations a client on the plan already has.

Deleting

Click Delete in the editor, tick "I understand that this action cannot be undone." and confirm. A free plan can only be deleted when no client is on it: otherwise you'll see "This plan cannot be deleted while it has active customers". Move those clients to another plan with Change Plan first.
