Team Members

Settings > Team is where you add your agency's own team members and control what each of them can access. An Owner and an Admin can open this section; Staff members can't.

Adding a Team Member

The Invite Card

Click the Invite Member card to open the New Team Member panel. Enter the Full Name, Email and Role, then click Save. As an Owner, Role offers Owner, Admin and Staff and starts on Owner, so change it if you're adding someone else. An Admin doing the same sees Staff only, and that's what the field starts on.

What Happens Next

The new member receives a welcome email with a login link and sets their own password the first time they access the platform. The link in that email is valid for 10 minutes; if it expires, they can request a password reset from the login page.

If the Welcome Email Doesn't Arrive

The welcome email is one of the templates you can switch off in Settings > Emails. If it's disabled, invited members get no email at all — in that case use Copy login link on their card and send it to them yourself.

Owner, Admin and Staff

Owner

An Owner has exactly the same access you have as the account holder: the platform makes no distinction between the original Owner and one you add later. A new Owner automatically inherits access to all your clients and all your plans, including future ones.

Admin

Admin is a second full-access role, for the person who runs the agency day to day but shouldn't touch what belongs to you as the account holder. Like an Owner, an Admin gets all of your clients and all of your plans, current and future, with no assignment switches to set: Clients, Plans, Sales and Brand work for them as they do for you, and so do the Finance and General groups of Settings.

What Stays With the Owner

Five things an Admin can't do:

  • Settings > API and Settings > Zapier don't appear in their settings sidebar, and the addresses don't open for them either.
  • The Xero and QuickBooks tabs of Settings > Accounting aren't shown to them; they get the other four tabs (see the Accounting Reports article).
  • Settings > Account has no Billing tab for them, so what your agency pays Climbo stays private. They still get Access, Stripe and Legal.
  • They can't top up the balance: Add Funds opens a dialog telling them to contact you, with your email address in it (see the Agency Balance article).
  • They can't change the domain: in Brand > Domain they can read everything and press Verify DNS, but Connect and Disconnect open the same contact-the-owner dialog (see the Connect Domain article).

On top of that an Admin can only add Staff members, and the Tools entry in the top menu and the help icon in the top bar are the Owner's.

Staff

A Staff member's access is limited to the Clients and Plans sections, showing only what's been assigned to them, plus Settings > Account, where they can edit their own credentials. Every other settings section — Balance, Team, API, Webhooks, Emails, Zapier, the finance and payout sections and your platform design — is not available to them.

Restricting a Staff Member

When you pick the Staff role, two switches appear: All clients ("Assign to all current and future clients") and All plans ("Assign to all current and future plans"). Both start switched on. Turn one off to pick specific clients or specific plans instead. With a switch on, anything new you create later is added to that member's access automatically; with it off, the list stays exactly as you set it.

Restrictions Are Enforced

These limits aren't just hidden menu entries: access is enforced by the platform, so a client or plan a Staff member isn't assigned to simply doesn't exist for them.

Managing Your Team

The Team Cards

Each member appears as a card with their name, email, role and the date they were added. Your own card is marked You and has no actions on it.

Editing

Edit opens Edit team member, where you can change the name, the role and — for Staff — the client and plan assignments. The email address can't be changed from here.

A Note on Changing Roles

Promoting a Staff member to Owner or to Admin clears their restrictions and hands them every client and every plan, present and future. The other way around, demoting an Owner or an Admin to Staff empties their client and plan lists and switches All clients and All plans off, so remember to assign what they should keep — otherwise they log in to an empty Clients page. You can't change your own role, and you can't demote the last remaining Owner: the platform always keeps at least one. An Owner's and an Admin's client and plan assignments aren't editable, because both always have access to everything.

What an Admin Can Change Here

An Admin manages the team below their own level: they can edit, delete and copy the login link of Staff members and of Sales users. The Owner's card, and another Admin's card, carry no Edit and no Delete for them. Their Role dropdown offers Staff only, so an Admin can't create a second Admin or hand out the Owner role.

Copy Login Link

Copy login link gives you a link, valid for one day, that logs you in as that member — useful for checking what they actually see. It's available on the cards of Admin, Staff and Sales members, never on an Owner's, and using it signs that member out of their current session. An Admin can use it on Staff and Sales members only.

Removing a Member

Delete asks you to confirm and then removes the member. Their access stops immediately on their next action, even if they still have the platform open. You can't remove yourself, and if the person doesn't belong to any other agency, their account is deleted entirely. There's no limit to how many members you can add.

The Sales Role

Where It Comes From

You may see a member with a Sales badge on the Team grid. That role isn't something you create here: it's assigned automatically to your affiliates, and it's managed from Settings > Affiliate. Sales users have their own welcome and password reset emails, and they see a Payout tab in their account instead of billing. See the Invite Affiliates article.
