Clients Management

Manage Paid Client

When a client signs up for a paid plan through a payment link, their card appears in the Clients section automatically. This article covers what the card shows, the actions available, and how statuses and plan changes follow the client's Stripe subscription.

What's on the Client Card

The Client's Details

As with free clients, you'll see the business name, the number of locations added, the address and the email. Until the client finishes onboarding, the name shows as Pending and the address as No address yet.

Toward the bottom of the card you'll find the plan they're subscribed to and what they currently pay. On a Price per Location plan where they've increased the quantity, it appears next to the plan name, for example "Gold (x3)". The price is the total for that quantity per month (/m) or per year (/y). If a coupon is applied to the subscription, a small percentage icon sits next to the price; hover it to see which code is applied, the discount and its duration.

Payment Method and Status

The card also shows whether a credit card has been added. If it says No card connected, the client hasn't added a payment method yet — a good moment to reach out and address any objections. You'll also see the client's status, which updates automatically based on their Stripe subscription.

The Billing Countdown

Below that, the card shows how the subscription is tracking: normally N days until next charge. If the client has canceled, it turns red and reads N days until cancelation, with an info icon explaining that the subscription stays valid until the end of the current period. If the renewal date has already passed without a successful charge, it reads N days since last payment intent — a clear sign the payment is stuck and worth chasing.

When Your Client Limit Is Reached

As with free clients, if your Climbo agency plan's client limit has been passed the card is covered by a Limit Reached overlay ("Upgrade to enable access") and the client can't be accessed until you upgrade.

Viewing the Client's Account

View Client

Just like with free clients, click View Client or the arrow over the card image to log into their account directly — useful for checking what they're doing or providing support. It requires a connected domain.

The Stripe Billing Portal

Open Customer Portal

Hovering over the card reveals more actions, including one of the most useful: Open Customer Portal, which opens the client's Stripe billing portal. Clients reach the same portal from Settings > Billing in their platform, and as an Owner or an Admin you can open it for them.

From the billing portal you can add the client's credit card, view and download their invoices, update their billing details and change their plan or quantity. The Client Billing article covers the portal in detail.

Other Actions

The Remaining Icon Buttons

You'll also find Copy invite link (logs into the client's account without credentials), Open on Google Maps, Send email to client, and — for Owners and Admins — Cancel subscription.

Canceling from here is immediate and total. The dialog is titled Cancel Subscription Immediately, you confirm with the "I understand that this action cannot be undone" checkbox, and the client's Stripe subscription is canceled on the spot. The client's account, locations and data are then deleted. If you want the subscription to run until the end of the period the client already paid for, cancel from their billing portal instead.

Canceled Clients

A client whose subscription is Canceled or Expired stays visible for a while as a faded card. Those cards keep only the Send email to client action — no login, no portal, no coupon.

How Status Works

Statuses That Keep the Platform Open

Unlike free clients, where you change the status manually, a paid client's status updates automatically based on their Stripe subscription — and there's no Change Status action on a paid card. Only two statuses give access to the platform:

  • Trialing — the client signed up and is currently in a free trial.
  • Active — the client has an active, paying subscription. This happens once a payment method is added and a payment succeeds, whether that's during sign-up or at the end of a trial.

Statuses That Lock the Platform

Every other status locks the client out. When they try to use the platform they land on a page titled Update Your Subscription, explaining that the trial has ended or the payment failed, with an Open Billing Portal button to fix it. The statuses you'll actually see are:

  • Past Due — a payment attempt failed (for example, insufficient funds or an expired card) on a subscription that was otherwise fine. Access is blocked from that moment, and Stripe keeps retrying the charge. If a retry succeeds, the status returns to Active and the client can use the platform again. If the retries run out, what happens next depends on your Stripe retry settings: the subscription is either marked Unpaid or canceled, and a canceled subscription means the client's account and data are deleted.
  • Unpaid — the retries have run out and Stripe has stopped trying to collect. The client needs to add or fix a payment method from the billing portal.
  • Paused — the free trial ended and there was no payment method on file to charge, so the subscription was paused instead of being billed. No payments are taken while it's paused, and the client can't use the platform; they (or you) open the billing portal and add a valid payment method to get billing and access going again.
  • Incomplete — the very first payment never went through at sign-up. If it stays that way, Stripe cancels the subscription, the status becomes Expired, and the client is removed.

Applying a Coupon

Apply Coupon

In the top-left of the client card, Apply Coupon lets you apply one of your coupons to the client's subscription, whether they're in a trial or already paying. It takes effect on their next payment: a Once coupon applies only to that payment, a Forever coupon to every payment going forward.

The button is shown to Owners and Admins only, and disappears once a coupon is applied, since a subscription carries one coupon at a time. See the Apply Coupons article for details.

How Plan Changes Work

Changes Come From Stripe

A client's plan also updates automatically. Clients first subscribe through the payment link. Afterward, they can open their billing portal and click Update subscription to upgrade or downgrade. Stripe handles the switch, the platform updates the client's features, integrations and limits to match, and their card shows the new plan right away.

In short: for free clients, you change the plan and status yourself. For paid clients, both follow what's happening in Stripe.
